Venue Rental Terms

Hello there! To keep things fair and smooth for all guests, please read the following venue terms.

By booking with KEI Studio, you agree to the following terms.

Setup, Decorations & Cleanup

  • All setup, teardown, and clean-up must be completed within your booking hours. Please factor in sufficient time to ensure everything goes smoothly.

  • In the event that you arrive late, your booking will still end as per your end session time to ensure that subsequent bookings are not affected.

  • The maintenance fee is a fixed charge that applies to every booking, and goes toward the studioโ€™s general upkeep and sanitation before and after every booking. However, please note that the maintenance fee does not cover resetting the space or cleaning up any mess created during your session.

  • You are required to reset the space to the same condition as it was handed over to you before leaving. Please note failure to do any of the following will result in additional charges:

    • Returning all furniture, equipment, and props to their original positions (Tip: we recommend taking photos upon arrival, this makes resetting later on so much easier)

    • Clearing general mess (e.g. balloons, food crumbs, leftover food/drinks, or materials brought in for your session)

    • Disposing all decorations brought in for your session

    • Disposing of all trash (You may use the bins outside the entrance - Please ensure all trash is placed inside the bins)

    • Wiping up any spills or stains

    • Clearing and cleaning after your pet(s)

  • Decorations: To help us keep the venue in its best condition for all guests, please note that sticking or pasting anything onto any surface is strictly prohibited. This includes all forms of adhesives such as blue tack, tape, command strips, hooks, stickers, decals, etc.

    • Any form of adhesives found on any surface will result in a $50 charge deducted from the security deposit

    • Any residue, marks, stains, or damage to the wall, paint, or surfaces will result in a charge of up to $100 deducted from the security deposit

    • All external decorations brought in must be disposed of after the event, and balloons must be popped prior to disposal

  • The use of confetti, party poppers, glitter, wax or wax-based celebration items, smoke effects, powder materials, or any difficult-to-clean materials is strictly prohibited. Any stains, residue, damages, or additional cleanup required will incur additional charges.

General

  • To ensure the cleanliness of the space, we do have a strict no-shoe policy โ€” All shoes are to be removed at the entrance located on the 1st floor. Please note that a failure to comply, resulting in dirt, stains, or damage will result in an additional cleaning fee.

  • Smoking or vaping is strictly prohibited anywhere on the premises โ€” this includes outside the entrance, along the corridor, or near neighbouring shopfronts. Any evidence (including scent or residue) will result in 100% forfeiture of the entire security deposit. For guests who wish to smoke, please use the designated smoking bin located at the bus stop just a short walk away.

  • Please keep music and noise at a respectful volume to avoid disturbing others.

Respect for Equipment & Property

  • All equipment, props, and amenities must be handled with care. Any loss or damage resulting from misuse, negligence, or accidents will incur repair or replacement charges.

  • Floor Care: Please avoid dragging furniture or heavy items across the floor to prevent damage.

  • Our mounted decor and permanent installations (such as track lights, framed pieces, and floral wall curtain) have been carefully styled and positioned within the space. We kindly ask that these items remain as they are and are not adjusted, removed, or modified.

  • You are responsible for ensuring that your conduct and activities within the space comply with all relevant laws and regulations. Illegal substances and prohibited items are not allowed, and violations may result in immediate termination of the event without refund.

Venue Viewing

  • To respect the privacy of our guests, viewings cannot be conducted during another clientโ€™s booking. As weekends are primarily reserved for events, venue viewings are available on weekdays only, between 12pm and 6pm, by appointment and subject to availability.

  • Each enquiry or booking includes one complimentary viewing, whether before or after your booking is confirmed. Any additional viewing requests, including visits with vendors or other members of your event team, are subject to availability and approval by KEI Studio.

  • For viewings arranged prior to booking confirmation, please note that your preferred event date and time will not be reserved or held pending the viewing. All bookings are on a first-come, first-served basis and are only confirmed upon completion of the required booking and payment.

Vendor & External Services

  • You are welcome to bring your external catering! However, please note that you are responsible for cleaning up after your event โ€” This includes packing up leftovers, disposing of waste, and restoring the space to how it was found.

  • All catering, deliveries, and event setup/teardown activities must be carried out entirely within your booked hours and personally overseen by you or your team. KEI Studio is not responsible for any deliveries, services, or vendors that arrive or remain outside of your booked hours โ€” Please plan all arrangements accordingly.

  • We recommend that you allocate sufficient time for setup, teardown, and pack up within your booked hours. Overtime fees will apply for any usage beyond your booked hours, including but not limited to delays from vendors, late arrivals, or extended teardown.

Booking Hours & Overtime Charges

  • Please vacate the premises by the end of your booked time. A 10-minute grace period is provided for departure only. If the venue is not fully vacated within 10 minutes after the booking end time, overtime charges will apply, regardless of reason.

  • Any extension of booking hours is subject to availability. If you would like to extend your booking, please check in with us early so we can check on the availability for you.

  • For extensions approved in advance, the extension rate will be calculated at the base hourly rate indicated during booking confirmation.

  • Any uninformed or unapproved extension will be charged at 1.5x the base hourly rate indicated during booking confirmation, calculated in 30-minute blocks, with a minimum charge of 30 minutes.

Bringing Your Pets

  • Safety fences have been installed within the premises to help keep your fur kids from wandering unsupervised, but please note that you are responsible for the overall safety and well-being of your fur kids throughout your session.

  • Feel free to let your pets enjoy the furniture! We kindly ask to use a cloth or blanket if they shed heavily.

  • We don't require diapers, but we do recommend them for all pet guests to help keep the space clean and accident-free.

  • You are fully responsible for cleaning up after your own pet(s) on the premises โ€” this includes the entire venue and common spaces such as outside the entrance, along the corridor, or near neighbouring shopfronts. All waste must be properly cleaned or disposed of immediately.

Liability & Compliance

  • KEI Studio is not liable for any loss, theft, damage, injury, or fatality arising from or in connection with your use of the space.

  • By booking the venue, you assume full responsibility for the conduct of yourself, your guests, vendors, and clients, including any damages, legal issues, or violations of our terms or applicable laws.

  • You agree to indemnify and hold KEI Studio harmless from any claims, demands, losses, liabilities, costs, or expenses (including legal fees on a solicitor-client basis) arising from personal injury, death, or property damage during or related to your use of the venue.

Others

  • To keep things fair and smooth for all guests, failure to comply with any of our venue terms may result in applicable cleaning, damage, penalty, or overtime charges, which may be deducted from the security deposit. For full transparency on the relevant charges, please refer to the โ€˜Handoverโ€™ section under our Studio Guidebook, which will be shared upon booking confirmation.

  • The security deposit is refundable upon a satisfactory handover of the space within 14 days after your session, provided there is no breach of any venue terms and no additional cleanup is required after your session.

  • Where the cost of cleaning, repair, replacement, overtime, or other applicable charges exceeds the security deposit, the outstanding balance will remain payable by you.

  • KEI Studio reserves the right to refuse, cancel, or terminate any booking or activity that breaches these venue terms, poses a risk to the venue or others, or is materially different from the intended use disclosed at the time of booking. Where a booking is terminated due to a breach of these terms, no refund will be provided.

Cancellation Policy

  • More than 60 days from event date: 100% refund

  • 30-60 days before from event date: 50% refund

  • Less than 30 days before from event date/ No-show: No refund

KEI Studio reserves the right to amend these terms and conditions at any time without prior notice.
